Role Description: Chief Operating Officer

Reporting Relationship: Chief Executive Officer

Direct Reports: Two to three direct reports; oversight of Operations, Finance, Talent and Technology functions.

Status: Full-time

Location: Remote within the United States

Compensation: Base salary range of $175,000 to $225,000 per annum, commensurate with lived and professional experience, plus bonus and competitive benefits. Bonus eligibility is based on performance, inclusive of achieving agreed-upon goals up to 10% of yearly salary. Organization pays 100% of personal medical, dental, vision with 50% subsidy for dependents. Benefits include matching retirement up to 4 percent, a budget for continuing education/professional development, twelve volunteer days and twelve wellness days off per year, and an additional 19 PTO days and 12 paid holidays.

About the Chief Operating Officer

VolunteerMatch is looking for its first full-time Chief Operating Officer to work with a talented and passionate team to help propel VolunteerMatch to the next level of success. The Chief Operating Officer (COO) will be responsible for leading the internal operations of the organization, including leadership of finance, talent and culture, and administrative functions, as well as evolving the organization’s systems and infrastructure and driving accountability for OKRs across the organization. The COO will be instrumental in ensuring internal operations are effective and efficient and support the alignment and focus of the organization’s strategic priorities. The successful COO candidate will manage internal operations of VolunteerMatch enabling our CEO to focus on strategy, external relationships, fundraising and other activities to support our growth.

The COO will be responsible for the following:

Organizational Leadership

  • Working with the Executive Leadership Team, develop strategic priorities, ensure alignment of teams and enable teams to successfully deliver results
  • Work with the leadership team to nurture a compassionate, thriving, equitable, inclusive and fully remote culture committed to excellence and passionate about our mission
  • In collaboration with the leadership team and Board of Directors, coordinate and oversee the strategic planning process
  • Ensure teams have strong work plans with alignment between individual, department and organizational objectives and key results (OKRs), track progress and monitor key metrics across the organization
  • Work with department heads to develop ambitious department-level goals, monitor team performance and track progress and key metrics and communicate routine updates to leadership team
  • Through their team, plan and execute quarterly all staff in person meetings, board meetings and executive team retreats annually
  • As requested, attend external events to promote VolunteerMatch’s initiatives and accomplishments
  • Own and manage projects that don’t neatly fit within the organizational structure

Operations Management

  • Evaluate the current state of affairs, identify gaps and opportunities and work across the organization to develop a strong, efficient and cost-effective operations and organizational infrastructure
  • Work with department heads to initiate and manage contracts, reporting requirements, compliance and vendor and grant agreements
  • Oversee and work with the fractional CFO to develop the annual budget, track financial performance and reporting practices
  • Oversee and work with the VP of Talent & Culture to ensure recruitment, compensation and benefits, performance management and professional development are in alignment with the needs of the organization
  • Oversee and work with our outsourced information technology team to develop a supportive and productive working environment for our team members
  • Assist the CEO with board meeting preparation and regularly attend board meetings, committee meetings and board retreats
  • Partner with external counsel for legal matters, including intellectual property and contracts

Desired Skills, Mindsets and Experience

  • At least 10 years of progressive leadership experience in an executive role, preferably in a social innovation and/or non-profit, using technology to solve a tough social or environmental problem.
  • Extensive and demonstrable experience working collaboratively to establish audacious goals with alignment across an organization
  • Strong ability to work with people at all levels of an organization, capable of engaging and motivating people to deliver clear results with a sense of teamwork
  • Demonstrated commitment to building and nurturing an equitable and inclusive culture within an organization and the larger community with a proven track record working across differences of gender, race, ethnicity, and socio-economics
  • Direct practical experience in designing, implementing and evaluating internal operating systems and creating consistency and buy-in across the organization
  • Strong leadership and management skills, including inspiring vision, clear communication, high expectations, excellent organizational and time‐management skills, and attention to detail and follow‐through
  • Exceptional analytical and strategic thinking skills with a focus on outcomes and impact
  • Proactive attitude, out of the box thinking, sense of humor, and ability to thrive in a fast-paced and entrepreneurial environment
  • Highly self‐motivated and creative problem solver with demonstrated ability to coach, manage, and develop high performing, collegial, and inclusive teams
  • Prior experience leading a high-performing team in a fully-remote working environment
  • Demonstrated experience working collaboratively with a CEO to balance the internal- and external-facing needs of the organization as a united leadership front for the full team of staff, board, and external stakeholders
